Preserve the original before renaming anything
Copy the source file into a working folder and apply the generated filename to that copy. Keep the original message export, photo, video, receipt or document in its original form and location where practical.
Describe the item without arguing the case
Use a short description such as late-pickup-message-thread or school-trip-receipt. Avoid labels that claim motive, dishonesty, abuse or a legal conclusion that the file itself cannot establish.
Use the same reference everywhere
Once a filename appears in the index, use that exact reference in the chronology, expense row and detailed event note. Consistency lets a reviewer move between a summary and its supporting material.
Treat the index as a map, not proof
The index describes what you have organized. It does not authenticate a file or determine whether it is relevant or admissible. Retain the original source and record any known limitation.
