Separate daily notes from incident reports
Daily notes are for routine care and context. Incident reports are for exact events that need more detail, evidence and follow-up. Link the incident entry from the daily note instead of repeating everything twice.
Record care without turning it into a performance

Attach only what explains the day
Do not attach every photo or message. Add the school email, receipt, appointment note or screenshot only when it explains the entry. Label what the file shows and keep the original source.

At the end of each month, tag entries that matter for an exact issue. A review by a lawyer or other expert pack should be filtered by issue and date range, not exported as one unfocused diary.
